In the past, the process of gathering and approving contractor documentation has been somewhat fragmented from the sub-contractor orientation process. Now, however, you can provide site safety training and manage everything in one cloud-based platform, giving you complete transparency and control over your contractors and eliminating paperwork.
All you do is decide what documentation you need and add your contract companies to the system. They then upload the requested documents such as insurance details or safety statements for your approval. You can reject them based on a number of criteria (e.g. document expired, unclear etc) or you can approve them.
Once approved, your contractors can add their workers to the system. Each worker must login and upload their own documentation, which again is decided by you (e.g. Safepass, CSCS, OSHA 10 card). The contractor also has the option of uploading these documents on behalf of the worker. At this point you have the option of enforcing a ‘Worker Approval’ whereby these documents are verified before the worker can start their orientation.
The online orientation is your own material and worker paths are mapped out in advance. The worker chooses their location, role and preferred language and they’re brought to the orientation which applies to them. Once they start they are advised that a series of photographs will be taken – this is to ensure that the correct person is actually taking the induction! They are brought through a number of chapters containing your orientation material and site safety training (text, imagery, diagrams, videos, pdfs etc) as well as a series of questions along the way.
Once complete, the worker is issued with a certificate which contains a QR code. This can be scanned or typed into any device when they arrive on site, to verify their identity and the completion of the process. They are now ready to start work! And if any of the cards or documents expire while they’re on sight, don’t worry – we’ll notify them and you!
